Order Processing Officer

About the role

MSF is looking for an Order Processing Officer for a fixed-term contract of 1 year in Ibb (Al-Qaidah), renewable depending on budget availability and performance. The officer handles day-to-day order processing in a supply office at project or coordination level, following MSF protocols and standards so that the mission runs smoothly.

Key responsibilities

• Process all orders and requests, keeping clients informed of their status (received, approved, confirmed, RTS monitoring, backorders, lead times) and reporting problems to line management.
• Communicate with local suppliers about order status and claims, and report issues to line management.
• Maintain the supply database, file supply documentation correctly and ensure data quality and coherence.
• Encode all electronic requisition requests (E-IRs) by email, notify requesters of missing information, and follow standard codes, sharing updates with technical departments and coordination.
• Clean pending data in the database weekly and monthly, coordinating with the line manager, requesters and technical teams.
• Follow up daily ordering tasks, including those sourced from local suppliers, and keep the Coordination Supply team updated.
• Handle donations from the project to the Ministry of Health and other parties.
• Archive procurement documents in Unifield, SharePoint and hard copies.
• Support the line manager with procurement activities, market analysis, updating the supplier list and preparing documents such as RFQs and CBAs, while complying with the technical validation table and finance procedures.

Required profile

• Secondary education; commerce-related studies desirable.
• At least 2 years of experience in supply chain management and in organizing supply administration and procedures.
• Desirable: proven understanding of MSF Field Logistics, including general knowledge of MSF equipment and kits suited to the project.
• Arabic and English are essential.
